Event Policies

- Provide accurate and complete information when making room reservations.
- Observe the cancellation policy.
- Be in attendance through the duration of each event or designate a responsible party who will be in attendance.
- Conduct the event so that it ends on time.
- Ensure that all members and guests leave the room by the reservation end time and the building by the stated closing time.
- Return the room to an appropriate condition, dispose of excess trash and remove all decorations at the conclusion of the event.
- Ensure that members and guests treat the building, equipment and furniture with care.
- Be considerate of other building users.
- Pay event balances in full by the due date.
Perry World House accepts the following forms of payment in order of preference:
- Fund Transfers (journaling)
- Wire Payments
- Checks made out to the Trustees of the University of Pennsylvania (non-Penn affiliated groups only)
Perry World House does not accept cash.
Once your event is accepted, Perry World House will provide an invoice, and discuss payment plan and type.
Valuable Items
Wallets, PennCards, cell phones, laptops, and similar items are held at the front security desk at the main entrance, first floor, of Perry World House and can be picked up there Monday through Thursday 11:00 a.m. to 7:00 p.m. and Friday’s, 9:00 a.m. to 5:00 p.m. If the lost item includes any identifying information, staff will attempt to contact you directly.
If you should happen to lose a valuable item during the evening or weekend, and you realize it right away, please ask the Security Guard at the main entrance, first floor, to contact the Building Manager. When the building is closed, the Building Manager will keep valuables secured until the following business day.
Other Items
Articles of clothing, books, papers, and similar items are turned in at the front security desk on the 1st floor and held there for one month. After one month, the unclaimed items will be donated to Penn Closet.
The University of Pennsylvania permits the lawful keeping and consumption, in moderation, of alcoholic beverages on its property or property under its control by persons of legal drinking age (21 years or older). Only individuals with valid proof of legal drinking age may be served alcohol; alcohol may not be served to any visibly intoxicated person, regardless of age. Alcohol may be served only from a controlled, designated area by sober, trained, of-age bartenders who are unaffiliated with the host organization.
Any organization that damages the building, its furnishings and/or equipment will be held financially responsible and may lose reservation privileges.
For your safety and the safety of your guests, open flames are not permitted in the building. The use of candles enclosed in glass orbs may be approved for special events if requested in advance. The organization will be responsible for all charges associated with damages caused by or as a result of a violation to this policy.
For events staffed by, but not limited to Perry World House, University Housekeeping, Allied Barton or Penn Police, the client must cancel at least two business days prior to the event. Any client that fails to do so will be subject to all staffing charges associated with the event. Any organization that does not show up for their event without cancelling will also be subject to all staffing charges associated with the event.
There are restrictions on the use of amplified sound for indoor and outdoor events. Arrangements must be made in advance with the Operations & Events Manager if amplified sound is wanting to be used. In addition, Perry World House reserves the right to request adjustments to any amplified sound level in an effort to accommodate other events that may be occurring at the same time.
Organizations may be permitted to hang decorations in the room reserved for their function provided that they obtain the approval of the Operations & Events Manager prior to the start of their event.
It is important that the organization communicate any event needs to the Operations & Events Manager. Stage risers, table linens and coat racks may be rented at the organization's expense. Please see the Event Inventory section for a list of what is included in your room’s rental fee and what can be rented for the space.
If arrangements have been made with an outside organization to provide rental equipment, the Operations & Events Manager must be notified in advance and the event organizer is responsible for receiving the delivery unless arrangements have been made with the Operations & Events Manager ahead of time.
